AI Chat Platforms – User Terms of Use

These User Terms of Use ("Terms") govern access to and use of institutionally approved AI chat platforms (the "Platform"). These Terms are presented at first use and periodically thereafter and are intended to reinforce institutional expectations in a clear, user-facing manner.

These Terms summarize key obligations from the Acceptable Use Policy – AI Chat Platforms and related College policies. In the event of conflict, institutional policies govern.

By accessing the Platform, you acknowledge that:

• The Platform is an institutionally approved system provided for educational, instructional, research, and authorized College business purposes.
• Your use must comply with College policies, including data handling, security, and conduct requirements.
• Access is provided through your institutional account and may be limited based on role or affiliation.

• Use of the Platform is logged for security, compliance, and operational purposes.
• Logs are not reviewed routinely and are not used for surveillance of individual users.
• Content may be reviewed only when required to investigate policy violations, security incidents, or legal or regulatory obligations.

Users should have no expectation of privacy when using institutionally managed technology systems, consistent with other College platforms.

You agree to:

• Handle College data in accordance with Data Classification, Data Sensitivity, and Information Security policies.
• Use protected or sensitive data only in authorized ways supported by institutional safeguards.
• Avoid entering College data into unmanaged or personal AI tools for institutional work.

While the Platform is configured with safeguards to prevent unauthorized secondary use or external model training, users remain responsible for appropriate data handling and judgment.

The Platform:

• Is not a counseling service, healthcare provider, crisis response system, or substitute for professional advice.
• Should not be relied upon for medical, mental health, legal, or emergency guidance.
• Does not replace human judgment, review, or accountability.

Users experiencing distress or in need of support should use established College resources or emergency services.

You agree not to:

• Use the Platform for unlawful, harmful, discriminatory, harassing, or threatening activity.
• Attempt to bypass safeguards, logging, or access controls.
• Misrepresent AI-generated content as official College output or solely human-authored work where disclosure is required.

All outputs generated by the Platform must be reviewed and validated before use.

Misuse of the Platform may result in:

• Suspension or removal of access.
• Required training or remediation.
• Disciplinary action under applicable College policies.

Serious violations may be referred for further review as required by law or regulation.
